Free to start. All your numbers are in Odoo. But one simple question, like "who are our top customers this year?", still means filters, pivot views, an export to Excel, and often waiting for the one person who knows how. And when a number finally comes back, nobody is quite sure what went into it. So we built **AI Analyst**, an Odoo AI assistant that lets you ask Odoo questions in plain language, the way you would ask a colleague, and answers with exact figures from your own data. Every number opens the records behind it. Think of it as ChatGPT for Odoo, with Odoo doing the math. This post covers what it does, how it works, and what it does not do. The answer is a short text with the figures, plus cards you can act on: a key number, or a table where every row opens its records. - **Counts, sums, averages, minimums and maximums**, grouped by up to two fields, and by day, week, month, quarter or year. - **Follow-up questions** keep the context: "And last month?" - **An Ask AI button** in the top bar, on any screen in Odoo, with suggested questions administrators choose per group. - **How I got this**: under every answer, each query in plain words. Which records, which filters, how they were grouped, how many were counted. - **Answers in 13 languages**, or in the language of the question. The key design choice: totals and counts are computed by Odoo's own grouping queries, not guessed by the AI. The model works out what to read; Odoo does the arithmetic. ## How it works, step by step Take a neutral example: an office supplies distributor whose sales manager wants this year's top customers before a Monday meeting. 1. **Install** AI Analyst: Ask Your Data from the Odoo Apps Store. It adds the AI Analyst app and the Ask AI button. 2. **Connect a provider.** In Settings, AI Analyst, open Manage Providers, paste your OpenAI API key and click Test Connection. 3. **Consent and enable.** An administrator ticks Data Sharing Consent, enables AI Analyst and gives the team access. 4. **Ask.** "Who are our top customers this year?" You get a key figure and a table. Click a row and Odoo opens the sales orders behind it in a normal list you can filter, group and export. ## Data safety and permissions - **Every lookup runs as the person who asked**, never as superuser. Odoo's access rights, record rules and field groups decide what the AI may read. Nobody sees more through the AI than they see in Odoo. - **Off until an administrator says so.** Nothing is sent to any AI provider before Data Sharing Consent is ticked. At first only administrators can use it; you then open it to all internal users or grant it user by user. - **What is sent:** the question, recent turns of the conversation, a short context (date, user name and language, company, currency, fiscal year) and lookup results, at most 50 records per lookup. - **Never sent:** passwords, API keys, tokens, files and attachments, emails and chatter messages, system settings. - **Kerneltics receives nothing.** Your Odoo server calls the AI provider directly with your key. Use Odoo.sh or your own server. - **The free edition only reads.** Pro can propose a change (create a record, update fields, schedule an activity, log a note) when an administrator turns AI Actions on, and nothing happens until the user clicks Apply. It never deletes. - **Wording depends on the model you choose.** The figures, tables and links come from Odoo; the sentences come from the model. - **Grouping goes up to two fields per lookup**, and each question is limited by default to 8 lookups and 90 seconds (both adjustable). ## FAQ ### Do I need an AI account? Yes. The free edition uses your own OpenAI API key, billed by OpenAI. Pro adds many more providers, including Ollama on your own server. ### How do I check a figure? If an answer ever looks wrong, send us the question and those lines and we will tell you exactly what happened. ### Do dashboards use AI tokens? No. A Pro dashboard re-runs its saved queries in Odoo as the viewing user.
