# WhatsApp API or the WhatsApp Business app? The difference that actually matters to a shop owner

> The app is free on one phone; the API puts a team on one number with bots and approved campaigns. When the app is enough, when you need the API, and what happens to the number.

There are three versions of WhatsApp, and most people mix them up:

1. **Regular WhatsApp:** for individuals.
2. **The WhatsApp Business app:** a free phone app with a business profile, quick replies and a catalogue.
3. **The official WhatsApp Business API (or Platform):** not an app. A service you connect to a system or a platform, where a whole team, bots and campaigns work one number.

The question we get every week: "do we need the API?". The honest answer in half the cases: no, not yet. In the other half: yes, and you needed it a while ago. ## The WhatsApp Business app: what it gives you and what it does not

**It gives you:** a business profile (name, address, hours, website), saved quick replies, a greeting message and an away message, conversation labels, a simple product catalogue, and a link to a Facebook page and Instagram. All free.

**It does not give you:**

- **More than one person on the number, properly.** There is multi-device linking, but no conversation assignment and no record of who answered whom.
- **Smart automated replies.** Only the greeting and away messages. No bot that understands and answers.
- **Safe campaigns.** Broadcasts from the app reach only people who saved your number, and overdoing them gets the number banned.
- **Integration with your systems.** You cannot have the booking system send a reminder from the app automatically.
- **A central record.** Conversations live on the phone; lose the phone or the employee and they are gone.

## The official WhatsApp Business API: what it gives you and what it costs

**It gives you:**

- **A team inbox:** every employee on the same number from the browser or phone, with conversation assignment, internal notes, canned replies and a full history.
- **Bots:** automated replies that understand language, book, check orders, and hand over to a person. We explained this in [an Arabic customer service bot](https://www.kerneltics.com/blog/ai-chatbot-arabic-customer-service).
- **Approved templates:** messages where you start the conversation (appointment reminder, order confirmation, shipment status, an offer to people who opted in), pre-approved by Meta, so the number is never banned.
- **Integration:** the booking system, the store or Odoo sends messages automatically on the event.
- **Official verification** and the green tick (which has its own separate conditions).

**It costs:**

- **Billed messages:** Meta charges for conversations you start (through templates) by message category and the customer's country, and the rates change. Replying to a customer who wrote to you has its own rules and window. Get current rates from the source and calculate on your volume.
- **A platform or a system:** the API is not an interface; you need a platform to work on (such as [K-Message](https://k-message.kerneltics.com), which we run) or a custom system.
- **Meta Business verification:** a commercial registration, documents and review time.
- **Discipline:** templates have rules, and too many customer complaints lower the number's quality rating.

## When the app is enough

- One or two people reply, and the volume is comfortable.
- You do not need automated messages from a system.
- You have no intention of running bulk campaigns.
- Incoming messages do not repeat enough to need a bot.

In that case, tidy the app: well-written quick replies, an honest away message, labels, and an updated catalogue. And watch: the moment replies take hours or conversations get lost, move.

## When you need the API

- **A team** answering the same number, and you want to know who replied and who did not.
- **Automated messages from a system:** appointment reminders, order confirmations, shipment status.
- **Campaigns** to customers who opted in, without the risk of a ban.
- **Repeated questions** eating staff time that need a bot.
- **A record** that stays with you if the employee or the phone goes.

## The move: what happens to the old number

The question that worries people most. The number moves from the app to the API and stays the same number, but:

- **Old conversations do not carry over.** Back up or export the important ones first.
- **The number leaves the app.** It does not work on both at the same time.
- **Customers notice nothing** except faster replies, and the name may appear verified.
- **Verification takes time** at Meta, so start it before you need it.

Or start with a new number on the API, keep the old one running for a while, and move customers gradually. Both work, and we choose based on your situation.

## Mistakes we see

- Moving to the API because "the competitor has it", then using it like the regular app with no bot, no templates and no integration. Paid for, unused.
- Sending campaigns to everyone who ever messaged you, without consent. The quality rating drops and the number gets restricted.
- Ignoring template rules, so they are rejected and the campaign is delayed.
- A bot with no boundaries confidently answering things it does not know.

## The short version

The app is free and enough for one or two people with no automation. The API gives you a team on one number, bots, approved templates and integration with your systems, in exchange for billed messages, a platform and verification. Move when you have a team, automated messages, campaigns or repeated questions, not before. And the number stays the same.
