Odoo payment reminders with AI: AI Collections chases overdue invoices without inventing a number

Every month, the same chase for overdue payments, and Odoo payment reminders written by hand. Who owes what? Who do you call first? What do you even write? Nobody remembers who promised to pay on Thursday, and unpaid invoices quietly drain your cash.

So we built AI Collections, a paid add-on for Odoo payment reminders and collections with AI: from the morning list to reading the customer's reply. Here it is in 69 seconds.

What AI Collections does for Odoo payment reminders

• A list every morning (Collections > Today): the customers with a follow-up step due, ranked by amount due, risk and days overdue, the biggest risk first.
• Reminders written by your AI: click Preview and Send and the AI writes the reminder with every open invoice, every amount and a link to pay, in the customer's language and the tone of the step.
• A facts check: any amount, date, invoice number, link or name that is not in the customer's real data in Odoo is refused before the message can go out.
• Promises to pay: the customer is left alone until the promised date; if it is broken, reminders resume.
• Replies read for you: a customer's email reply is classified as a promise, "we already paid", a dispute, a question or an out of office.
• A risk score from 0 to 100, computed from payment history and never by the AI, with a reason for each point.
• A cash forecast: when each open invoice is likely to be paid, week by week, plus ageing.
• A customer statement PDF with ageing, a payment link and a QR code.

How it works, step by step

1. Add your own AI key. OpenAI, Anthropic Claude, Google Gemini, Mistral, DeepSeek and others, or any OpenAI compatible API. Test the connection and set a monthly budget.
2. Give explicit consent. No customer data reaches the AI provider until an administrator ticks "Send customer data to the AI provider". Until then, translated templates write the messages.
3. Check the follow-up steps. Ready and editable: a reminder 3 days after the due date, a second at 15, a final notice at 30 with the statement and a call task, and an escalation at 45 with a manager task and an option to hold new sales.
4. Open Today each morning. Pick a customer, click Preview and Send, and see either "Facts check passed" or each issue named.
5. Send. The email goes out as you, on the customer's own thread in Odoo, so the answer comes back there. WhatsApp opens click-to-chat with the text ready.
6. Replies become suggestions. The AI suggests, the collector confirms: a promise recorded, the customer snoozed for 7 days, an invoice put in dispute. Nothing changes on its own.

Automatic email sending can be switched on per step. It only sends on working days and hours, never on public holidays.

Why "never invents a number" matters

An AI can write a wrong amount as confidently as a right one, and a reminder with the wrong figure is worse than none. So the AI only gets the customer's real data from Odoo, and everything it writes is checked against it: amounts in any format, dates, invoice numbers and links. It also refuses discounts, extensions, payment plans and legal threats the step does not allow. A refused text is written once more; if it fails again, your template writes the message and the reason is kept.

Who it is for

Any business on Odoo that sells on credit and has customers who pay late. Think of a packaging distributor with dozens of trade customers, several open invoices each, and one accountant chasing them. It runs on Community and Enterprise, on Odoo.sh or on premise. It matters most on Community, because Odoo's own payment follow-up is Enterprise only.

• AI cost: you pay your provider directly at its own prices. There are no credits to buy from us, and every call is logged with its tokens and estimated cost.

What it does not do

• It does not send WhatsApp on its own. It opens click-to-chat with the message ready and you press send. On Enterprise with Odoo's own WhatsApp app, it opens the composer with an approved template. Automatic sending is email only.
• It does not read WhatsApp replies. Reply reading covers emails that arrive on the customer's or the invoice's thread.
• It does not include an AI model. You need your own key. Without one, or when the budget or the account's credit runs out, the templates take over.
• It never offers a discount, extension or payment plan by itself, and it never changes a record without your confirmation.
• It is not a payment gateway. It adds the invoice's payment link from Odoo.

FAQ

Where does my customer data go?

Only to the AI provider you chose, and only after an administrator's consent: the customer's name and contact, invoice numbers, amounts, due dates and payment links. No invoice lines, products or accounting entries. Kerneltics receives nothing.

What languages can it write in?

The customer's language when it is installed in Odoo, else the company's. The interface and the reminder template are translated into 12 languages.

I am on Enterprise and already have follow-up. Do I need it?

The difference is AI writing with a facts check, reply reading, the explainable risk score and the cash forecast. Look at the store page and decide.
