Odoo CRM or a custom CRM? How to choose a customer management system for your sales team
When the ready-made Odoo CRM is enough for a sales team, when a custom system earns its place, and the one thing that makes any CRM fail regardless of type.
Every sales team has a CRM, even if they do not call it that. For some it is a spreadsheet; for others it is the rep's memory and their phone. The trouble starts when the rep resigns and takes every customer with them, or when the manager asks "how many deals are open, and for how much?" and there is no answer.
The question we get: do we install Odoo CRM, or do you build us something custom? The answer depends on one main thing, and this post is about it. If the question is broader (the whole system, not only sales), read Odoo or a custom system.
First: what a CRM actually does
Before choosing, agree on the job:
- A list of leads and where they came from (website, WhatsApp, an ad, an exhibition).
- Deal stages (first contact, quotation, negotiation, closing) and who owns each deal.
- Follow-up: tasks, calls and messages per customer, with reminders.
- Quotations from the same place, turning into a sales order when closed.
- Reports: open deals and their value, close rate, performance per rep, the source of the best customers.
Any system that does these five is a CRM. The difference is in the details.
When Odoo CRM is enough
Odoo has a mature CRM module: a deal board with drag and drop between stages, leads from the website and email, activities and reminders, quotations that become sales orders, and ready reports. It fits when:
- Your sales process is standard: lead, contact, quote, close. This covers most companies.
- You want sales connected to the rest: a closed deal becomes a sales order, then an invoice, then a delivery from stock, with no re-entry. This is the biggest advantage, and standalone systems do not offer it.
- Your team needs to start quickly without designing screens.
- Your sales budget is limited and operations come first.
What we usually add on top of Odoo: a WhatsApp link (so messages are logged against the customer and can be sent from the system), website forms feeding straight into the CRM, and small customisations to fields and stages.
When you need a custom CRM
- An unusual sales cycle: many stages with conditions and approvals, government tenders, or complex pricing based on per-customer calculations.
- The interface is the product: a large field team needing a mobile app designed exactly for their work, with two or three screens only.
- Deep integration with a proprietary system you already run that has no standard interface.
- Sensitive data needing finer control over who sees what than standard permissions offer.
Even here, the right answer is usually a custom system on top of Odoo, not a replacement: the custom interface talks to Odoo behind the scenes, while invoicing, stock and accounting stay in Odoo. That is what we have done on projects we work on, and it is cheaper than two separate systems.
The one thing that makes any CRM fail
Not the type. Usage. A CRM fails when the rep sees it as a burden: they sell on WhatsApp and log it in the system later (or never). The fix is not more training; the fix is making the system the place where the work happens:
- WhatsApp inside the system or connected to it, so the conversation logs itself.
- Less input: name, phone and stage. Everything else optional.
- It helps the rep themselves: follow-up reminders, one-tap quotations, no lost customers. If the system only helps the manager, the rep ignores it.
- On mobile, because the rep is not at a desk.
Any CRM, ready-made or custom, that does not deliver those four becomes an expensive spreadsheet.
The WhatsApp link specifically
In Saudi Arabia most selling starts and ends on WhatsApp. A CRM that cannot see WhatsApp is blind to half the process. Linking through the official WhatsApp Business API logs every conversation against the customer in the system, lets the rep reply from the same screen, and lets the manager see conversations when the rep is away. How to decide in a single session
- Draw your sales process on paper: from first contact to first invoice.
- Mark the steps that do not look like "quote, then close". If fewer than three, Odoo is enough.
- Ask the team where they actually work (WhatsApp? phone? desk?). That decides the interface.
- Ask: what happens after closing? If an invoice and stock, the Odoo link is essential either way.
Quick questions
We have a well-known standalone CRM that works. Should we move to Odoo? If it works and the team uses it, do not move because of the type. Move if the gap between it and invoicing and stock is costing you duplicate entry and errors.
How long does an Odoo CRM setup take? Roughly the fastest module in Odoo, since there is no heavy data migration. What takes time is the WhatsApp and website links and cleaning the current customer list.
Can we start with just the CRM and add the rest later? Yes, and it is an excellent entry point to Odoo: start with sales, add invoicing and stock when you need them, on the same data.
The short version
Odoo CRM is enough for most teams because their sales process is standard, and its big advantage is the link to invoicing and stock. A custom system earns its place when the cycle is unusual or the interface is the product, and even then it sits on top of Odoo rather than replacing it. What decides success is whether the rep works inside the system, which means WhatsApp connected, little input, and a benefit to them personally.
